Tracking policy sign-offs
Use the sign-off matrix to see who has acknowledged which published policy across your whole organization, and export the result as a CSV.
Summary
- Use the sign-off matrix to see who has acknowledged which published policy across your whole organization, and export the result as a CSV.
- Use this guide to complete the workflow with audit-ready evidence and ownership.
- If you hit a blocker, run troubleshooting first, then escalate with context.
Steps
1. Open the sign-off matrix
Go to /dashboard/compliance/sign-off. Each column is a published policy; each row is a member.
2. Choose your scope
Managers can toggle Scope between Entire organisation and My team. Auditors do not see the scope selector and are limited to what their access allows.
3. Read the acknowledgment marks
A checkmark means that member has acknowledged that policy, from either an e-signature or a training acknowledgment. Hover the cell for the source and date; a dash means not yet acknowledged.
4. Request missing signatures from the policy itself
To close gaps, open the specific policy at /dashboard/policies/[id] and use the Sign-off requests panel's Request signatures button rather than chasing people manually.
5. Export the matrix
Select Export CSV to download the current scope as a spreadsheet for offline review or audit evidence.
Verification
- Every published policy appears as a column; draft or archived policies do not.
- Switching scope between Entire organisation and My team changes which rows appear.
- The exported CSV matches what is shown on screen for the selected scope.
Troubleshooting
The matrix shows no published policies.
This is expected until at least one policy reaches PUBLISHED status. Draft and in-review policies never appear here.
A member I expect to see is missing from the rows.
Check your selected scope. My team only shows your direct reports; switch to Entire organisation to see everyone.
