Collect policy acknowledgments and signature evidence

Request and track acknowledgments as part of policy deployment governance.

Manager

Summary

  • Request and track acknowledgments as part of policy deployment governance.
  • Use this guide to complete the workflow with audit-ready evidence and ownership.
  • If you hit a blocker, run troubleshooting first, then escalate with context.

Steps

  1. 1. Open the Sign-off requests panel

From a published policy detail page, scroll to the Sign-off requests card (visible to authors and admins).

  2. 2. Select Request signatures

Choose All active members to send to everyone in the organization who does not already have a pending request, or Specific emails to list recipients separated by commas or new lines.

  3. 3. Set an expiry window

Enter Expires in (days), from 1 to 365. It defaults to 14 days.

  4. 4. Send and track the requests

Select Send requests. The panel shows Total, Pending, and Signed counts, and each recipient row shows a Pending, Signed, Expired, or Revoked badge.

Verification

  • The Sign-off requests panel shows the correct Total, Pending, and Signed counts after sending.
  • Recipients who already had a pending request are reported as already pending rather than duplicated.
  • Signed requests show a completion date; pending ones show the expiry date.

Troubleshooting

The Sign-off requests panel is not visible on a policy.

Only users who can author policies (admins and authorized roles) see this panel. Staff and managers without authoring rights will not see it on the policy detail page.

I need an organization-wide view of who has signed what.

Use the sign-off matrix at /dashboard/compliance/sign-off instead of checking policies one at a time; it shows every member against every published policy.
